After cataloging, the document information is available for managers to review, and determine which documents are needed to support your case or prove your point. . . . From the management perspective, we needed to understand what each document contained, not read each document. But how could we organize all the information into one central location ? And how could we divide the work up ? This system allowed us know our documents in a minimim amount of calendar and labor time.

We had 1500 documents but no document knowledge. The system allowed us to list the documents and truly see what each document meant.

The paralegals quickly entered the key characteristics of each document and within a few weeks, we had an important overview of our case. The key "discovery" (pun intended) for us, was the chronology of a few documents. AHA, we HAD them !

Compliance

To operate in accordance with the Federal Rules of Civil Procedure one must:

  • Identify each document - Document ID
  • Characteristics:
    • Date: the actual date of the document
    • Type: Letter, Memoranda, Email, Invoice, Contract, Map, Treaty, Legislation, Patent, Journal
    • From Whom: Author of document
    • To Whom: Receipient of document
    • Synopsis: the content, in "25 words or less"
    • Keywords: words that characterize this document
